1. Introduction
VetXpert LLC (d/b/a VetXpert Solution) (“Company,” “we,” “our,” “us”) provides a software platform that helps Veteran Service Organizations, government agencies, veteran nonprofits, and VA-accredited attorneys and claims agents (“Licensees”) prepare VA disability claim forms and supporting documents for the veterans they serve. This Privacy Policy explains how we handle (a) information about visitors to our website and (b) veteran information that Licensees process through the platform (“Veteran Data”).
We do not sell the platform to individual veterans. If you are a veteran whose information was processed through the platform, your relationship is with the organization assisting you; that organization controls your information and we process it on its behalf.
2. Information We Collect
a. Website visitors and Licensee contacts: Name, organization, role, email, phone, and the contents of messages you send us through our contact or newsletter forms.
b. Authorized User accounts: Name, work email, organization, role, and login and activity records needed to operate and secure the platform.
c. Veteran Data (processed for Licensees): Personal identifiers (name, date of birth, contact details, Social Security or service numbers where they appear in records); military and VA medical records and civilian treatment records; service records such as DD-214s, fitness reports or medical board proceedings; deployment, exposure, award and incident records; buddy statements and other documents the Licensee uploads.
d. Automatically collected data: Log files, IP addresses, browser type, device identifiers, and usage data collected through cookies or analytics tools on our website.
3. How We Use Information
- To operate the platform for Licensees: reading uploaded records, identifying potential conditions, and generating draft VA forms and statements for the Licensee’s review
- To provision, secure, support and audit Authorized User accounts
- To respond to partnership inquiries and provide training and support to Licensees
- To improve the reliability and security of the platform (using de-identified or aggregate information only)
- To comply with legal, regulatory and contractual obligations, including those of government Licensees
- To refer a Licensee, on request, to a VA-accredited attorney for medical-records retrieval
We do not use Veteran Data for marketing, do not sell it, and do not use it to train artificial-intelligence models unless a Licensee has expressly agreed in writing.
4. Data Storage and Security
All documents and sensitive data are encrypted in transit and at rest and stored in secured cloud infrastructure. Access is restricted to the Licensee’s Authorized Users and to our personnel with a need to access it for support and operations. We log access, monitor for security events, and conduct periodic security assessments. Veteran Data is retained only as long as needed to provide the platform to the Licensee or as required by law or the Licensee’s contract, and is deleted or returned at the end of the engagement as described in our Terms.
5. Sharing Information
We do not sell, rent, or trade personal information. We share information only with:
- The Licensee that uploaded it and its Authorized Users
- Service providers that host, store, or secure the platform, under written confidentiality and data-protection obligations
- VA-accredited legal partners, only when a Licensee requests a records-retrieval referral
- Government agencies or courts when required by law, subpoena, or legal process, or as required under a government Licensee’s contract
6. Your Rights and Choices
Veterans: To access, correct, or delete information about you that was processed through the platform, contact the organization that assisted you. We will support that organization in fulfilling your request.
Licensees and Authorized Users: You may request access to, correction of, or deletion of your account information, or export of your organization’s data, by contacting team@vetxpertsolution.com.
Website visitors: You may opt out of marketing emails at any time using the unsubscribe link or by contacting us.
7. Cookies and Tracking Technologies
Our website uses cookies and similar technologies for site functionality and analytics. You can control cookies through your browser settings. The platform itself uses only cookies necessary to keep Authorized Users signed in and secure.
8. Children’s Privacy
Our website and platform are not intended for individuals under 18, and we do not knowingly collect information from minors except where it appears within a veteran’s records (for example, dependent information on VA forms) that a Licensee has lawfully uploaded.
9. Changes to This Privacy Policy
We may update this policy from time to time. Changes will be posted on this page with a new Effective Date, and Licensees will be notified of material changes.
